Hello! This privacy policy explains how we handle your personal information when you use the Purley Sports Club app ("the App"). We want to be upfront and straightforward about what we collect, why, and how we keep it safe.
The short version: We collect only what we need to let you book courts and manage your bookings. We don't sell your data to anyone.
1. Who We Are
The App is provided by Appified Ltd (Company No. 09405749), registered at 3 Bushey Way, Beckenham, BR3 6TA. Appified builds and maintains the App on behalf of Purley Sports Club.
For the purposes of UK data protection law:
- Purley Sports Club (The Ridge, Purley, CR8 3PF) is the data controller – they decide how and why your data is used in relation to club services.
- Appified Ltd is the data processor – we process your data on the club's behalf to make the App work.
2. Age Requirement
The App is intended for users aged 16 and over. If you're under 16, please don't use the App without the involvement of a parent or guardian. We don't knowingly collect data from anyone under 16.
3. What We Collect
Information you provide:
- Login credentials – your club booking system username and password, used to log you in. These are stored securely on your device using your phone's built-in secure storage (keychain/keystore) and are sent to our servers only to authenticate you with the club's booking system.
- Member details – your name and email address, retrieved from the club's booking system after you log in.
Information collected automatically:
- Usage analytics – we use PostHog (hosted in the EU) to understand how the App is used. This includes things like which screens you visit, actions you take (such as making a booking), and basic technical details about errors. This helps us improve the App.
- Device information – your device type and operating system, so we can ensure the App works well on your device.
- Push notification token – if you allow notifications, we store a device token so we can send you booking reminders.
Information we access with your permission:
- Calendar – if you choose to add a booking to your calendar, we'll ask for permission to access your device's calendar. We only add the specific booking event you request.
Information we do NOT collect:
- Your location
- Your contacts
- Your photos or files
- Payment card details (the wallet balance shown in the App is read directly from the club's system – we don't process any payments)
4. How We Use Your Information
- To provide the service – logging you in, showing available courts, making and managing bookings, displaying your wallet balance.
- To send notifications – booking reminders and updates, if you've opted in.
- To improve the App – understanding usage patterns and fixing bugs through anonymised analytics.
- To provide support – if you contact us, we may use your information to help resolve your query.
5. Who We Share Your Data With
We only share your data where necessary to make the App work:
- Purley Sports Club – your booking and account information is processed through the club's own booking system.
- PostHog (EU-hosted) – anonymised usage analytics to help us improve the App.
- Amazon Web Services (AWS) – our servers run on AWS infrastructure within the EU.
- Expo / Apple / Google – for delivering push notifications to your device.
We do not sell, rent, or trade your personal information to any third parties.
6. Where Your Data Is Processed
Your data is processed within the European Union. Our analytics provider (PostHog) is EU-hosted, and our infrastructure runs on AWS servers within the EU.
7. How We Keep Your Data Safe
- Your login credentials are stored using your device's secure storage (iOS Keychain / Android Keystore), which uses hardware-level encryption.
- All communication between the App and our servers uses encrypted connections (HTTPS).
- We don't cache your personal data on our servers – information is fetched fresh each time you use the App.
While we take reasonable steps to protect your data, no system is 100% secure. We can't guarantee absolute security, but we do our best.
8. How Long We Keep Your Data
- Credentials on your device – stored until you log out or uninstall the App.
- Analytics data – retained for up to 24 months, after which it is aggregated and anonymised.
- Server-side session data – not permanently stored. Sessions are temporary and expire automatically.
9. Your Rights
Under UK data protection law (UK GDPR), you have the right to:
- Access your personal data – ask us what we hold about you.
- Correct inaccurate data – let us know if something's wrong.
- Delete your data – ask us to remove your personal information.
- Restrict processing – ask us to limit how we use your data.
- Data portability – receive your data in a portable format.
- Object – object to certain types of processing.
- Withdraw consent – where processing is based on consent, you can withdraw it at any time.

10. Third-Party Links
The App may contain links to external websites or services (such as the club's social media pages). We're not responsible for the privacy practices of those sites, so please check their own policies.
11. Changes to This Policy
We may update this policy from time to time. If we make significant changes, we'll let you know through the App or by other means. The "last updated" date at the top tells you when it was last revised.
